
Events Coordinator
The Events Coordinator reports to the Director of Development Operations and will support the Office of Development and the entire school, primarily in event management, throughout the year to advance the mission of Fountain Valley School. This role will be responsible for executing successful fundraising and friend-raising events, as well as general support for the Development Office. The individual in this position is expected to possess excellent communication, organizational skills, and a talent for event planning and execution.
Duties and Responsibilities Include:
● Plan and execute on and off campus events, including the opening of school week, alumni, parent, and prospective parent receptions, Fall Family Weekend, Admission Open Houses and visit days, and the annual FVS Reunion.
● Coordinate and communicate facility rental events—such as weddings, dinners, and other functions—with the Facilities team and relevant departments or staff.
● Develop event timelines, budgets, and work plans, ensuring all tasks are completed in a timely and efficient manner.
● Coordinate event logistics, such as venue selection, catering, audiovisual requirements, and event registration.
● Oversee event promotion, marketing activities, and invitations.
● Manage event volunteers, including recruitment, training and assignment of roles and responsibilities.
● Maintain accurate and up-to-date donor records by recording donor interactions and event participation.
● Generate reports and analysis to provide insights on donor engagement, event effectiveness, and event fundraising progress.
● Record all event registrations/attendance in Raiser’s Edge database.
● Create a system for recording and tracking donor and event appreciation gifts to ensure no constituent receives the same gift twice.
● Collaborate with the Development team and database coordinator to ensure event data integrity and resolve any data discrepancies or errors.
● Collaborate with other departments, such as marketing and communications, to ensure consistent and effective messaging regarding friend raising and fundraising events.
● Create accurate data lists through Blackbaud Raiser’s Edge for event prospect research.
● Other duties as assigned, including general administrative support of the development office.
● Attendance at certain events will be required.
● Regular and reliable, in person attendance is required.
Qualifications and Skills
● Bachelor’s degree preferred
● Expertise in Microsoft Word, Excel, Google Suite, mail merges, and data input. Blackbaud Raiser's Edge experience preferred
● Excellent written and verbal expression
● Proven experience in event planning, or a related field
● Excellent organizational and project management skills, with the ability to manage multiple priorities and meet deadlines
● Flexibility to work evenings and weekends as required by event schedules
● Strong organizational skills and attention to detail
● Ability to manage multiple projects, meet deadlines, and prioritize among assignments
● Ability to work independently and as an effective team player
Working Conditions:
● Environment: indoor office work and some outdoor events
● Physical demands: able to sit and stand for at least 8 hours per day; occasional after hours, weekend and/ or weeknight obligations. Must be able to lift 40 lb.
● Working relationships: students, parents, outside vendors and all other employees
Salary: $50,000 - $60,000
